Your mission

Manage the corporate headquarters office facility, ensuring that it is consistently well-maintained and that the needed supplies and office equipment are present;

Support other corporate initiatives, such as teambuildings, company events, etc.;

Work closely together with the Project Managers on implementing all project activities, starting from the design phase until the opening of the new Fosbury location;

Manage a large number of (technical) documents, data and contracts and compose an extensive and well-organized file per project;

Ensure a smooth internal, administrative flow by keeping track of all progress statements, reports, reviews, incoming invoices, etc.;

Maintain a good relationship with all partners, and identify other potential parties to collaborate with;

Assist with negotiating and preparing contracts with partners, contractors and suppliers;

Follow up the progress of the project activities, keeping the contractual agreements and deadlines in mind;

Schedule all project-related meetings with suppliers, contractors and other stakeholders and prepare minutes;

Compare and challenge different offers of various suppliers, identify the most beneficial deals;

Assist with monitoring procurement and purchase orders of furniture, decoration, etc.

Note: As you will be working in a small team, backing each other up is key. The job content can slightly differ from time to time due to (periodic) changes and the ever-evolving environmental requirements. These changes/adjustments will be discussed in advance with the local team and the job holder.

What we expect

You have affinity with architecture, building and construction;

You have at least 2 years of working experience in administration and management;

You know how to tackle an extensive Excel-file;

You are highly organized and punctual, and able to take direction;

You love to work in an international, scale up environment and you are willing to travel;

You radiate maturity and professionalism, and you are a smart communicator with excellent oral and written communication skills;

You have a hands-on mentality and you have an appetite for getting things done;

You’re fluent in Dutch and English, French would be a plus;

You value people, lifestyle, design, art, culture, and fashion;
